TERMS & CONDITIONS OF HIRE

Please read carefully as by making this booking you agree to the terms and conditions below.

Thank you for choosing The Apple Tree for your event, we look forward to hosting you. We dislike T&Cs as much as anyone, but everyone needs to stick to them to make sure there are no problems and that you and your guests have a fantastic time. Please plan to arrive as close to your booking or set up time as possible, we may have other bookings to fit around you.

BILLING

Your booking/bookings are not secure until your contract has been returned and the agreed deposit amount has been received (If applicable).

Drink purchased by your guests and crew during your event will count towards your minimum spend amount. If the minimum spend is reached and all other conditions of your booking are met satisfactorily your deposit will be refunded to the card you used to pay with, within 10 working days of your event. If you do not meet the minimum spend, we will deduct the difference from your deposit. If the difference is not covered by your deposit, you will be charged the outstanding amount. Please contact team@theappletreelondon.com with any questions about billing. If you book more than one date, you may pay an initial deposit and roll it over. The terms stated above will apply.

All prices quoted include VAT at 20%.

CANCELLATION POLICY

Any cancellation must be sent and acknowledged in writing via email. There is a 6 week notice period to end this contract and 4 week notice period if the occasional night needs to be cancelled. Under the rare circumstance there is an external issue such as a train strike, 72 hours cancellation notice must be given.

In the event that the event producer cancels their event outside of these parameters, The Apple Tree will retain 100% of the deposit and room hire fee. On occasion, there may be circumstances where we may cancel a booking for the benefit of the business. In these instances, we will give as much notice as possible and not less than 4 weeks. We may also contact you if you have not yet advertised your event and/or booked performers and ask if you would consider moving your date.

CAPACITY & LICENCING

Hirers must adhere to the terms and conditions of our licence, including cut off times for live and recorded music and last order times. A £25 admin fee and one month’s notice is required if you would like us to apply for a late licence for your event. We cannot guarantee a late licence will be granted. Hirers must also agree to accept and act in accordance with any determination or instruction as to these terms and conditions made by the duty manager. You must not exceed the agreed number of guests. The maximum capacity of the upstairs bar is 70 standing and of the main bar 50 standing. Access will not be granted to extra guests above this number.

SUITABILITY OF PERFORMERS

Event producers must ensure any acts, performers, crew and guests adhere to The Apple Tree’s Code of Conduct – we will supply you with a copy at the time of booking. Under the terms of our licence, full nudity is not permitted. Please get in touch if you have questions about the suitability of any acts.

If we discover, at a later date than your initial booking and because you have not informed us, that your event is counter to the ethos of The Apple Tree or has racist, homophobic (etc) content or speakers then we reserve the right to cancel.

SET UP & USE OF SPACE

Any significant changes to the format or the set up of the event must be communicated to us well in advance and before you have begun advertising. There may be specific reasons that it would not be possible for you to make these amendments or there may be increased charges.

Please arrive in plenty of time to assist with set up for your event. Numbers of seats required and layout of staging must be agreed in advance. Please note, the building may be shared with other bookings and we reserve the right to allow our customers access to the bar and toilets without holding a ticket.

SOCIAL MEDIA & PUBLICITY

Please provide us with images, a short bio and your social media tags/website address so we can consider if we are able to promote your event on our social media. We will fit posts in with our own social media schedule and cannot guarantee more than one post. Please tag @theappletreelondon in any publicity you create for your event. We welcome flyers for booked events and can display a few small posters on our notice boards.

TICKET SALES, DATA SHARING & PHOTOGRAPHY

Outsavvy is our recommended ticket platform. We request event producers give their attendees the option of sharing their details with The Apple Tree, so we can add them to our mailing list for future events. If you are bringing an event photographer, please let your attendees know in advance. Please allow us access to some images for our social media, full credit will be given to your photographer if they are used.

FOOD & DRINK

Hirers and their performers, guests & crew may not bring their own food or beverages on site.

SECURITY

The Apple Tree retain the right to carry out bag searches and/or exclude from the premises anyone who refuses to comply with any reasonable request from the duty manager. If the number of expected guests exceeds 120 for full venue hire, security should be provided at your own cost. Please discuss with us when making your booking.

USE OF EQUIPMENT

We can provide stage boxes and some sound equipment and lighting, providing this is agreed by us when your booking is made. If you wish to set up for performers, DJs or a band, you must provide a sound technician to set up the equipment for you. If you wish to bring your own equipment, please ensure it is PAT tested and safe to use. Any house equipment must be signed out and back in at the end of your event.

DELIVERIES

You may leave up to three reasonably sized boxes of items for your event (eg props & decorations) with us if we have available space and this is agreed in advance. All deliveries should be made and collected during pub opening hours. We cannot be held accountable for any damage to items stored on site. We recommend you include a full check list or inventory.

DECORATIONS & FURNITURE REMOVAL

Decorations must be attached using white tack only, we do not allow tape on the walls. Alternatively you may use pins in the picture rails only. You are responsible for removing any décor by the end of the hire period. We reserve the right to remove any decor at any time. If your booking requires heavy furniture to be removed from the booked area a removal fee may be applicable. Please email events@theappletreelondon.com to discuss your requirements.

DAMAGES & INSURANCE

Should you or any of your ticket holders cause damage to any of the fixtures and fittings, equipment or art, or to the venue itself, you will be liable for the costs of repair. Your deposit will be forfeit. Please inform a member of staff immediately if any breakage occurs. Please leave the room/booked area in the condition that you found it. If there is excessive mess a cleaning fee will be applicable. It is the hirer’s responsibility to take out insurance to cover any costs or losses arising from
the booked event.

INJURY & DISORDERLY CONDUCT & LOSS OF PROPERTY

Whilst we will exercise reasonable care, the Apple Tree will not accept responsibility for any personal injury, except as a direct result of negligence by us, suffered on the premises howsoever caused. The Hirer shall indemnify The Apple Tree and its staff against any claims arising from this booking. Any accident must be reported to a member of staff as soon as possible after its occurrence and prior to departing from the premises and details must be recorded in the accident book. Use of illegal drugs and other illegal substances are strictly prohibited on the premises. Any person who, in the judgement of the duty manager, displays disorderly, dangerous or improper conduct will be asked to leave the premises immediately. We reserve the right to order the immediate total or partial clearance of the premises if necessary. Verbal or physical abuse towards members of staff or other customers will not be tolerated and will result in immediate eviction and a ban from the premises.

The Apple Tree does not provide cloakroom facilities. It is the responsibility of the hirer to make their guests aware and take full responsibility for the safekeeping of items. The Apple Tree will not accept responsibility for any damage or loss of goods, property or equipment. By making this booking, you agree to the terms and conditions of booking, as stated above.
